Start with ownership—not the brochure.
Alberta explains that current titles identify the owner and registered interests such as mortgages, caveats, easements and builders' liens, while registered document and plan copies can provide the underlying record. Counsel determines legal effect; a title printout or marketing summary is not that conclusion.
Connect title and parcel evidence to the municipal, physical, environmental, tenancy, financial and operational records for the exact property. Identify source, effective date, preparer, reliance status and unresolved differences.
02 / Stage disclosure
Control purpose before volume.
Use a public fact set, qualified-party package, diligence room and legal or otherwise controlled tier. The Alberta PIPA framework requires reasonable purposes and safeguards for personal information; a transaction context is not permission to publish every tenant, guarantor, employee or contact record.
An NDA, watermark or platform login can support control but does not establish lawful purpose, accuracy, completeness or professional reliance. Record authorization, recipient, version, date and required return or destruction.
03 / Corrections
Never silently replace evidence.
Maintain a missing-information schedule, question log and superseded-version record. When a rent roll, statement, title, plan, report or claim changes, identify what changed, why, who approved it and which recipients relied on the earlier version.
RECA advertising guidance emphasizes clear brokerage identification and reliable, properly sourced facts. A general disclaimer does not cure a materially misleading property record or remove listing-source attribution requirements.
